UUP Workshop - Academic (Faculty) Guide to Workload - May 4 and 7
William SchultzeApr. 29, 2026
Hopefully our UUP academic employees have seen the recent announcements and emails posted for our upcoming workshop: An Academic Employee (Faculty) Guide to Workload
Conversations with academic colleagues this past year have shown this workshop to be timely and valuable, and it's being offered REMOTELY on May 4th and IN-PERSON on May 7th. You'll see more announcements and emails over the next week. People may attend either or both. Naturally we understand that any workshop at any time may not fit within a person's availability, but we hope that those who do attend can discuss the information shared with their colleagues.
- Registration is necessary; email Chapter Assistant Elaine (Burns) Ryan at Alfred@uupmail.org to reserve your spot.
- Note that this workshop is only for academic (faculty & librarian) UUP members.
This is an event for UUP MEMBERS, if you'd like to attend, we will help you sign up! UUP membership makes good things happen! A higher proportion of membership adds to our negotiating leverage for improving our work lives and benefitting SUNY as a whole. Membership is NOT automatic; check your pay stub and if you’re not already a member, you can sign up at http://uupinfo.org/join
Engineering Technology Projects on Display in SET Building
Matthew LawrenceApr. 29, 2026
Please stop in for a self-guided tour of completed student projects in room 252 SET! There are interactive projects from two different courses:
Students in MECH 4134 - Introduction to Renewable Energy - completed simulated smart homes this semester. We have eight examples - each is a poster board full of sensors and actuators demonstrating how a central microcontroller can be used to control things we use every day in different areas of a home to reduce energy consumption. Students used AI generated code to program the microcontrollers, and the techniques and findings from their experience with AI coding were presented at an American Society of Engineering Education conference last weekend. The original assignment, the project grading rubric, and a lab partner contribution rubric are also available for review.
Also in 252 SET, you will find an “arcade-style” claw machine entirely designed and fabricated by a group of five seniors in BSET 8003 – Senior Project. Try your luck – no quarters required. Group members include graduating engineers from the mechatronics, computer, and mechanical engineering technology programs.
Both projects were funded in part with applied learning grants from the VPAA’s office (Thank you!!). Please stop in to see some of the amazing things our students are doing.
The rooms will be open 29Apr through 01May from 8am - 3pm.
2025-26 Fiscal Year Procurement Deadlines and Important Information
Michelle FranciscoApr. 29, 2026
Purchase Order Submissions (Submitted to Procurement or via Pioneer Purchasing) – due Monday, May 18
Example: I have quotes and want to place an order.
• This timing is necessary to allow adequate time to process the purchase order and receive items by June 30. Requests not completed by that date are at risk for items not being received on time and consequently will need to be processed against the 2026-27 fiscal year.
• Merchandise received after June 30 on 2025-26 Purchase Orders must be paid from 2026-27 funds. If items have longer lead times, please submit Purchase Order requests early enough to accommodate delivery prior to June 30.
• Purchase Order requests received after May 18 will be held until July 1 and processed against the 2026-27 fiscal year.
• Please contact Daniel DuMond at x3917 with questions.
Payment Submissions for Merchandise Received (Submitted to Accounts Payable or via Pioneer Purchasing) – due Monday, June 22
Example: I have an invoice for something we have already received and need it paid.
• This timing is necessary to accommodate the high volume of payment requests received prior to the fiscal year-end shutdown. Payment requests received after this date risk not being processed until the financial system reopens after July 1.
• Please contact Caitlin Fanton at x3918 with questions.
Outstanding Travel Reimbursements
Example: I traveled, am due reimbursement, but haven’t submitted a travel voucher yet.
• Due to the high volume of activity at fiscal year-end, travel vouchers should be submitted to Travel as soon as possible, but no later than 30 days after the trip concludes.
• The college is not obligated to reimburse vouchers submitted 30 days or more after travel ends.
• All travel vouchers and net card logs must be completed within 30 days of return, including zero reimbursement vouchers when a state travel/NET card was used.
• Failure to submit required vouchers or NET card logs with receipts within 30 days may result in personal liability for travel or NET card charges.
• Please contact Denise Hults at x3921 with questions, trip updates, changes, or cancellations.
Procurement Cards
• Due at the end of the billing statement. Please look for the email notification from Daniel DuMond with the specific due date.
• You are responsible for reconciling your statement, even if you are leaving for the summer. Please make arrangements for certifying your May statement (available in June), if applicable.
• Failure to complete certification may result in revocation of P-Card privileges.
• After the purchase order and payment submission deadlines, you are encouraged to use your P-card for appropriate purchases in accordance with guidelines.
• Important: P-cards will not be turned off. Transactions on the June statement will post to the current fiscal year. Transactions on the July statement will be charged to the 2026-27 fiscal year. To avoid timing issues, we recommend avoiding credit card transactions from late June through July 6, as delayed posting could cause charges to fall into the new fiscal year unintentionally.
• Please contact Daniel DuMond at x3917 with questions.

Capital Construction Project Process – Capital Construction Office
Connie D'ArcyApr. 29, 2026
A new policy outlining the process for capital construction projects was introduced in January and is now available to be used going forward.
This policy, Capital Construction Projects, is intended to provide clarity and consistency around how capital construction projects are initiated, reviewed, and advanced. Capital construction at ASC is defined as projects that involve work with fixed building assets. There are two primary elements that require us to follow SUNY Capital Construction requirements (one or both can be true):
- The project, on state property, changes or improves the building structure and components.
- State dollars are used to fund the project and payment is processed through a state account.
The policy introduces a standard Capital Construction Project Request Form to support early planning and coordination. Faculty and staff planning capital construction work are encouraged to review the policy and use the application form when considering future projects.
Questions can be directed to the Office of Capital Construction, at construction@alfredstate.edu, as needed.

Please note that the demos are for your professional development - we seek to enhance your awareness of emerging technologies that have the potential to transform pedagogy. You are advised to contact Tech Services for approval to use them in the classroom.

Program Exit (PSLO) Surveys Sent to Students Expected to Graduate
Bridget JacobsApr. 24, 2026
Program Exit (PSLO) Surveys have been sent to students who are expected to complete their programs this spring from those departments/programs that participate in this college-wide assessment activity. These surveys ask students how well they think their programs prepared them to succeed in each of the expected student learning outcomes. These surveys are the main indirect assessment activity that most programs use and they are very important to our academic assessment plan.
The surveys are currently open and will run through mid-May to give graduating students ample time to complete the survey. Students received an email to their Alfred State email address from Bridget Jacobs, Alfred State College-Surveys at Surveys@alfredstate.edu and most of them will also see a pop-up box in myLearning encouraging them to "Please Complete Your Course Evaluations and Surveys". Students graduating from multiple programs, or those in programs administering more than one version of the exit survey will receive multiple surveys based on their program(s). Please direct any questions about the survey to Bridget Jacobs, Director of Assessment at jacobsbm@alfredstate.edu, or to your school's Academic Support Assistant, dean or department chair administrative assistant.
To maintain high response rates, please encourage graduating students to access and complete the survey. If students do not find the survey in MyLearning, please ask them to look in their Alfred State email for an email asking them how well they think their program prepared them to succeed so they can access the survey from there. Thank you!

April is Global Volunteer Month, and our incredible student body is springing into action!
Cyan CorwineApr. 22, 2026
We encourage our campus community to support the many initiatives our incredible students are spearheading throughout April as part of our Civic Leadership Spring into Action Campaign. Initiatives are already underway and you can find a list of some of the offerings linked here. Big thank you to all who have conducted service or supported through engagement so far!!
We are aware of other potential volunteer needs in the community that are not yet filled, so if you are a club, organization or department interested in providing service this month please reach out to Cyan Corwine in the Center for Civic Leadership so we can help connect you with community partners in need.
In addition to the publicized events:
- AGC Student Chapter will be doing a village clean-up on April 21st led by their advisor Dr. Reza Yadollahi from 11am-1pm.
- Pi Rho Zeta is hosting a drunk driving awareness event this Wednesday, April 22nd (Earth Day) at 5pm in EJ Brown 119.
- Alpha Beta Chi is hosting a carwash on April 24th from 3-7pm at the Alfred Station Fire Hall. Car's are $5 and Trucks are $7 with all proceeds raised going to Alfred Fire & EMS!
- Criminal Justice Club (SLC 411) are partnering once again with UP and Civic Leadership to bring back the Food-for-Fine-Forgiveness program throughout the month of April. Students can drop off $10 of non-perishable food in exchange for one parking fine reduction to either of these leadership suites during the month of April. Only one fine reduction per person. Food benefits wider campus community.
These are just some of the amazing ways our students are leading the way with service this Global Volunteer Month. Please get out and support them in their efforts as we Spring into Action and nurture our caring community! Again, if you have another event that you would like to lead during the month or if you want help partnering with someone in wider community to fulfill service, please do not hesitate to reach out to Cyan Corwine (corwincy@alfredstate.edu)

Mobile Learning Lab on Campus
Kerri PotterApr. 17, 2026
Friday April 17th, the Mobile Learning Lab will be on campus. You will find it parked between SLC and CDH. We invite faculty, staff and students to stop by and engage in a Random Acts of Kindness activity based on the Book, How Full is your Bucket from Gallup, Tom Rath and Don Clifton. Being a bucket filler is about being surprisingly kind. Anyone can fill buckets by recognizing when others have been helpful or have done outstanding work. This positive energy can lead to an entire shift in culture, where everyone is noticing and recognizing quality efforts. We often think positive recognition comes only from supervisors, managers, or teachers but Gallup has found that people cherish praise and recognition from peers. The environment you create significantly affects the entire culture of recognition, praise, and achievement. Recognition is everyone’s responsibility. And better, more frequent recognition happens when more people are empowered to do the recognizing. We hope you’ll join us to create a drop to fill someone’s bucket!

Mobile Learning Lab on Campus
Kerri PotterApr. 15, 2026
